Meeting Minutes for HOA Board Meeting held on 12/2/03

 

Management Company

·        Motion passed to terminate Sentry management by 1/30/04

·        Bill to prepare letter terminating Sentry Managements employment

·        Scott and Jennifer to research new bookkeeping firm/CPA. Have at least 3 proposals from perspective firms by 12/16/03 to present to all board members so they begin ASAP

 

HOA Fees

·        Motion passed to not increase association dues for the year 2004

·        Bill to give updates to board members on all homeowners who are past due and updates on what action is being taken.

 

Bids for Services

·        Scott to have proposals for the following services to be presented to the board at the next meeting:

Ø      Lawn Service

Ø      Fertilization and Pest Control

Ø      Irrigation Service

Ø      Pool Service

Ø      Janitorial Service

 

Budget

·        Jennifer to have Final draft of Budget by next meeting

·        Jennifer contacting Florida Power and City of Apopka regarding electric and water costs

 

Pool Gate and Fence

·        Jim to contact previous property owner (Water Oaks) to obtain warranty for the pool & fence

·        Motion passed to have gate lock fixed within 30 days

 

Newsletter

·        Lisa to update newsletter - changing the meeting time to 6:45pm.

·        Motion to send out newsletter on a quarterly basis to be determined at next mtg.

·        Scott to contact current insurance carrier to determine additional cost for board members insurance

 

Adams Homes Issue

·        Lisa to contact Adams Homes representative and schedule a meeting with Adam’s Homes and Board

·        Bill to present a rough draft listing the pros and cons for annexing Adam’s Homes into our HOA

 

Developer back charges

·        Jennifer to obtain quotes for the following problems so we can hold the developer accountable:

Ø      Rain Sensor for irrigation system

Ø      Estimate on Pool repair

Ø      Pool fence repairs/replacement

 

Holiday Decorations

·        Bill to donate gift certificate to the homeowner voted with the best display on Saturday, 12/20

·        Bill to contact homeowner who offered to make 3 signs for 1^st, 2^nd and 3^rd place winners

·        Donations were taken by Lisa to decorate the front entrance on Saturday, 12/6/03 at 9am

 

Miscellaneous

·        Jennifer to type out e-mail listing of homeowners

• Jennifer to review comments and concerns turned in by homeowners at last night’s meeting so they can be incorporated into the next meeting agenda
